Workforce Manager

Handle shift changes without losing control of the rota

Employees need flexibility, but managers still need to know who is responsible for each shift. Workforce Manager keeps shift-change requests connected to the schedule.

Swap a published shift with an eligible colleague

An employee can request to exchange a shift with a colleague rather than relying on an informal message. The workflow keeps the original shift responsibility clear while the request is pending. A swap can require acceptance from the other employee before it reaches the manager for final approval.

Keep manager approval in the workflow

Employee agreement does not have to change the published rota automatically. Manager approval provides a final check for role eligibility, coverage and direct conflicts. Once the request is approved, the schedule can reflect the agreed change without leaving managers to reconstruct what happened from a chat thread.

Give away a shift when a direct swap is not available

If an employee cannot work but does not already have a colleague to exchange with, a give-away request provides a structured route. The shift can move toward open coverage while retaining its date, time, role and workplace context. Past shifts are not appropriate for new give-away or swap requests.

Let eligible employees claim open shifts

Managers can expose unassigned work as an open shift. Employees at the appropriate work location can see available coverage and submit a claim. A claim can display as waiting for approval until the manager decides who should receive the shift, rather than assigning it on a first-click basis without oversight.

Check conflicts before a change becomes final

Workforce Manager can allow flexible request patterns, including swaps across different days, while still preventing direct scheduling conflicts. For employees assigned to multiple locations, existing work elsewhere in the company also matters when checking whether the proposed change is practical.

Keep requests tied to the shift's workplace

Open shifts, claims and swap activity remain connected to the location where the shift belongs. This is particularly important for companies with several workplaces: an employee may have company-wide visibility of their schedule, but requests should still respect the location and role eligibility of the shift being changed.

Shift-request workflows help organise schedule changes; managers remain responsible for confirming that approved changes comply with staffing needs, contracts and applicable working-time rules.
