Get your first workplace ready for scheduling
Start with the information that drives the rest of Workforce Manager: workplace details, employees, roles, availability and staffing needs.
1. Create your account and workplace
Register for Workforce Manager and create the workplace you want to schedule. If your company has several locations, add and manage them separately so each schedule keeps the correct context.
2. Add employees
Add the people who should appear in the workforce. Keep employment details and contracted hours accurate because they can affect scheduling decisions and hour limits.
3. Define roles
Create the roles used in your workplace and make sure employees are eligible for the roles they can actually work. Roles help both manual and automatic scheduling assign the right people.
4. Record availability and leave
Keep employee availability current and process leave requests before building the rota. Approved absence should be visible before shifts are assigned.
5. Define staffing needs
If you plan to use auto scheduling, define the staffing requirement for the workplace. The scheduler needs a target to know which roles and periods require coverage.
6. Build or generate the schedule
Create shifts manually or use auto scheduling to generate a starting rota. Review hours, coverage, days off, conflicts and open shifts before publishing.
7. Publish to employees
Publishing makes the prepared schedule available to employees. After publication, use requests and open-shift workflows to handle changes in a controlled way.
8. Use the time clock and daily dashboard
As the workday begins, scheduled employees can use the time clock and managers can use staffing information to follow the day’s attendance and coverage.
